Scheduling and how to book a session

Q: What is the complimentary one hour session that I am entitled to?
A: A one-hour complimentary in-classroom training session will be provided to all main stand holders. You do not have to make use of this session, but you must notify the organisers either way.

Q: Do I still need to fill out an application form and information form, if I only want to make use of my complimentary one hour classroom session?
A: Yes, any company hosting any session, whether they paid for it or not, must complete an application and information form, this confirms that you agree to all Terms and Conditions and Health and Safety Regulations.

Q: How do I book a training and demonstration session?
A: The first thing you must do is sign up as an exhibitor. To do this email versha.carter@intelligentexhibitions.com Once you have booked your exhibit space at Ocean Business 2009, you will then need to fill out an Application for Training Hours and accompany this with a Training and Demonstration Information Form. Fax both documents back to the organisers no later than 1st October 2008.

Q: Who decides what session goes on what day and time etc?
A: The Ocean Business team have a committee made up of industry colleagues. A committee meeting will be held in October to go through all the applications and information forms to decide what facility, what date and what time each session will be held. We will endeavour to meet with your programming requirements, but please be aware that due to difficulties in programme selection this may not always be possible.

Q: When will I be notified of the dates and times of my sessions?
A: Once the committee have programmed the schedule, it will be emailed out to all the exhibitors. Once you have confirmed if you are happy with your sessions, an invoice will be sent to you.

Q: How many hours am I allowed to book on each facility?
A: Initially, main stand holders are invited to apply for up to 3 hours in each facility (2 for the classroom as 1 hour is complimentary), but this is NOT guaranteed and subject to availability. Intelligent Exhibitions Ltd cannot guarantee any sessions until the committee have met, reviewed all the contracts and formulated the programme.

Q: Can I book more than 3 hours on a facility?
A: After 1st November and subject to availability it may be possible for exhibitors to purchase additional hours.

Q: Can the company sharing my stand host a training and demonstration session?
A: Main stand holders may in turn allocate their training hours to companies that are sharing their stand and have been approved by Intelligent Exhibitions Ltd as sharing companies. Please inform the organisers which companies are sharing on your stand in advance of booking any sessions on their behalf.

Q: I am an AMSI member, do I get a discount?
A: There is a discounted rate for AMSI members. For details of costs, please go to the costs page.

Q: How long is there between each session?
A: If anyone requires additional time for mobilisation, they should contact the organisers directly to discuss. Otherwise, there is a half hour gap between each session that should give each exhibitor enough time to demobilise at the end of a session and mobilise at the start. Equipment cannot be left in the facility between sessions without prior permission from the organiser.

VESSELS - Please note that mobilisation of equipment will take place on Monday 30th March 2009 and demobilisation will take place at the close of the event on Thursday 2nd April 2009. The vessels are fully equipped and regularly test a variety of equipment and technologies. If special equipment is required by an exhibitor they may be asked to provide it or alternatively an extra cost may be charged.
